MailingMarshal is the sole owner of information collected via this website. We will not sell, share or rent this information. MailingMarshal can collect this information at different points on the website from users.


Our website offers several opportunities for visitors to register for promotional and informational mailings, resources and for assistance in evaluating our products and services. These registration forms enable users to opt-in to MailingMarshal’s mailing lists and require users to give contact information (such as name and email address) and consent to be contacted. We use this contact information to send information about our company and our products and services. Notice is given at the point of collection to enable users to choose whether or not they consent to the usage terms. Those who have signed up and subsequently wish to withdraw their participation may opt–out of receiving future mailings at any time. Where do we store and process your personal data?


All data collected, stored and used by MailingMarshal is held in the U.K. Your private data is stored at our Tier 4 Data centre in Buckinghamshire.


The safeguards in place are physical, hardware and software. The servers in the data centre are accessed only by nominated MailingMarshal personnel, all security procedures are monitored and audited by our Data Protection Officer (DPO).


How long do we keep your personal data for?


MailingMarshal collect, store and use data as outlined within this document for all MailingMarshal active clients. If a client terminates their account, all private data is deleted in accordance with ‘The right to forget’ as defined by GDPR. Data is retained no longer than is reasonably necessary.


Information collection and use by our customers


You may be asked to provide certain personal information to our customers in connection with their use of our products and services, such as when you respond to a survey or register for an event. If you choose to provide personal information to one of our customers, you should review the individual privacy policy of that customer. MailingMarshal is not responsible for the privacy practices of our customers.


You may be asked to provide certain information to our customers when they are using our software. Our standard terms of business require that any customer using our software obtains consent under GDPR from all recipients prior to contacting them.


If you choose to provide your private information and grant consent to be contacted, you should review the individual privacy policy of that customer. MailingMarshal is in no way responsible for the privacy policy of our customers.


Security and privacy


When MailingMarshal collect your data, GDPR describes the organisation responsible for storing and using your data as the ‘Processor’. We adhere to every stage of this requirement.


Your private data is stored and used by us inside the U.K. At no point does your private information ever leave the U.K. 


We take every precaution to protect the confidentiality and security of your personal information by using security safeguards such as firewalls, coupled with carefully developed security procedures to protect your information from loss, misuse or unauthorized alteration. When we collect sensitive account information such as credit card numbers, we protect its transmission through the use of encryption such as the Secure Socket Layer (SSL) protocol.


MailingMarshal takes care to reinforce the importance of our website visitors’ security and privacy among our employees. Our employees are trained and required to safeguard your information and, using physical, electronic and procedural safeguards, we restrict access to personal information to those employees and agents for business purposes only. Additionally, we use internal and external resources to review the adequacy of our security procedures.


At MailingMarshal, we have an appointed Data Protection Officer. This role includes supervision and audit of how your data is processed and stored internally. We also self certify for GDPR via periodic audits of our systems, procedure and policy.


We will never share, sell, or rent your personal information with third parties for their promotional use. Occasionally, we enter into contracts with third parties so that they can assist us in servicing you (for example, providing credit card merchant services). MailingMarshal's Anti–Spam Policy allows only permission-based email. In addition, users always have the opportunity to opt–out, via a link in the footer of all non–transactional email messages. These options are made available when you sign–up for our email lists and in email messages delivered from our company. Some communications (e.g., important account notifications and billing information) are considered transactional and are necessary for all MailingMarshal customers.

This policy is in effect as of May 2020. If we decide to change our privacy policy in any material way, we will post those changes on the MailingMarshal website, so our users are always aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it.
